The Executive Administrative Assistant provides executive level support by managing calendars, communications, travel schedules, and reports as assigned within the Medxcel Facilities Management Central Office - Indianapolis, IN.  This role organizes and develops information and materials necessary for Board and other meetings, special projects, presentations, and reports and provides additional support as assigned.  The Executive Administrative Assistant also collaborates with other Central Office associates to manage office activities and professionally represents Medxcel Facilities Management in all interactions by demonstrating a commitment to the mission, vision, and core values.


Executive Level Support:

  • Manage calendars, emails, travel arrangements, and expenses.
  • Perform additional support tasks: coordinate meetings (including Board Meetings), prepare documents, take notes/minutes, send reminders/responses, maintain files.
  • Strong interpersonal skills are a necessity for interacting with clients, training other administrative staff, and working with CEOs and top level managers.
  • Organize and develop information and materials necessary for special projects, presentations, and reports.

Support Central Office:

  • Maintain assigned public areas (e.g. conference room, break room).
  • Collaborate with other associates to manage office activities and events.


Education and Work Experience:

  • Associates degree in Business Administration or a related field preferred; Bachelor’s degree preferred.
  • Minimum 5 years of support experience or equivalent work experience.


  • Demonstrate thorough knowledge of Microsoft Office applications required.
  • Ability to manage time and set priorities amidst multiple tasks and deadlines.
  • Ability to manage with little supervision.
  • Ability to work comfortably with all levels of the organization.
  • Creativity and problem solving skills. 
  • Project management skills.
  • Excellent organization and planning skills.
  • Strong written and verbal communication skills.
  • Ability to work with confidential information required.
  • Expert level Excel experience required.
