The Project Manager will plan, track, and evaluate all strategic and operational projects including scope, schedule, and budget within the Medxcel Facilities Management framework at the Central Office - Indianapolis, IN.  This position will work with leadership and key stakeholders to develop project and communication plans to drive completion of business operational initiatives.  The project manager will be responsible for assessing the change impact on the field, leadership, and organization and integrating strategies for change management into the project plan.  Key responsibilities of the position are summarized below subject to other duties as assigned.

Responsibilities

Project Management:

  • Assemble data for planning, prioritizing, validation and decision making related to business development and facilities management initiatives.
  • Create and manage timelines and processes for projects in the form of a project plan.
  • Track all tasks completions associated with projects including cross-functional departments.
  • Coordinate with other departments on resource needs including but not limited to human resources, CMMS training, inventory team, IT, call center, procurement, administration, operations.
  • Build communication plans to keep key stakeholders and project participants up to date. 
  • Facilitate project meetings as needed including agenda and meeting minutes.

Change Management:

  • Assemble and direct cross-functional teams to develop and implement strategic projects.
  • Meet with key stakeholders to evaluate program current state and identify project needs and site specific objectives.
  • Provide direct support and coaching to key stakeholders.
  • Assess the change impact, create a change management strategy, and integrate into project plans.
  • Identify and manage potential program impediments.
  • Support organizational design and definition of roles and responsibilities.
  • Track and report issues and successes.
  • Support change management at the organizational level.
  • Manage the portfolio and change load on the department, organization, and field operatives.

Organization:

  • Maintain all project information files so they are up to date and secure.
  • Maintain a list of project management requirements.

Process Development and Improvement:

  • Continue to develop forms and records to document project activities for all stakeholders.
  • Participate or lead corporate-wide continuous improvements initiatives and cross-functional projects.
  • Integrate change management activities into project plans.

Qualifications

Job Requirements:

  • Prior experience in Facilities Management, Healthcare, Change Management, or Program Management highly preferred.
  • 3-5 years Project Management experience required.
  • 1-3 years of experience with customer facing operations roles required.
  • Bachelor’s degree in a related field required.
  • MBA Preferred
  • PMP/CAPM preferred
  • 75% tracel required.

Knowledge:

  • Problem solving — identifies and resolves problems in a timely manner and gathers and analyses information skilfully.
  • Planning/organizing —prioritizes and plans work activities, uses time efficiently and develops realistic action plans.
  • Ability to Adapt –adapt quickly to changes in scope or direction and be flexible to adopting changes quickly.
  • Excellent communication and interpersonal skills with ability to communicate and present to all levels of the organization, on the topics of technology, tools, and processes.
  • Experience with MS Office Suite, Visio, and web technologies required.
  • Ability to deal effectively with diverse roles, backgrounds and expectations.
  • Project management skills including coordination, communication and adherence to budget and completion goals, prioritization and troubleshooting.
  • Ability to influence others and move toward a common vision or goal.
  • Flexible and adaptable; able to work in ambiguous situations.
