    The Executive Administrative Assistant delivers high level administrative services to assigned executives at Medxcel Central Office - Indianapolis, IN. Support includes managing calendars, communications, travel schedules, and meeting minutes, project management, and departmental reports as assigned. This role organizes and develops information and materials necessary for Board and other meetings, special projects, presentations, and associated reports. The Executive Administrative Assistant also collaborates with other Central Office associates to manage office activities and professionally represents Medxcel Facilities Management in all interactions by demonstrating a commitment to the mission, vision, and core values.

    Responsibilities

    Executive Level Support 

    • Manage calendars, emails, travel arrangements, expenses
    • Perform additional support tasks: coordinate meetings (including Board Meetings), prepare documents, take notes/minutes, send reminders/responses, maintain files
    • Communicate with “C” level executives, customers and vendors
    • Organize and develop information and materials necessary for special projects, presentations, and reports

    Support Central Office 

    • Maintain assigned public areas (e.g. conference room, break room)
    • Collaborate with other associates to manage office activities and events

    Qualifications

    Education:

    • Associates degree in Business Administration or a related field                 
    • Bachelor’s Degree is preferred

     

    Experience:

    • Minimum 5 years’ experience providing administrative support to senior leadership in a fast-paced environment

    Competencies

    • Thorough knowledge of Microsoft Office applications required
    • Ability to manage time and set priorities amidst multiple tasks and deadlines with little supervision
    • Ability to interact comfortably with all levels of the organization
    • Strong creativity and problem solving skills 
    • Project management skills
    • Excellent organization and planning skills
    • Strong written and verbal communication skills
    • Ability to maintain confidentiality when working with sensitive information is essential
    • Ability to take meeting minutes
